Contracts Administrator

Avenue Living Asset Management Ltd. ("Avenue Living") is seeking its first ever Contracts Administrator to join our Calgary team. Avenue Living is one of the largest real estate management firms in Western Canada with over $1.5 billion in assets owned and managed. The company is privately owned and led by a strong management team with institutional and entrepreneurial backgrounds.Reporting directly to the General Counsel, you will assist the Legal Department and other business units in the development of contracts, evaluation of contract matters during the term of the engagement and will be the primary point of contact for all post-award contract issues.

You will be instrumental to understanding all key areas of contract management inclusive of standard terms and conditions, limitation and renewal dates, risk analysis, warranties, insurance, standard terms & condition, etc. You will be responsible for performing contract management in support of all areas related to Avenue Living's business, including but not limited to implementation of a contract management database, drafting and revising contracts, contracts review, overseeing execution of contracts, extending contracts and ongoing management. You may be called upon to provide legal interpretation in all areas of contracting.

What you will be doing:

  • Developing processes and procedures to aid in the monitoring and management of our contracts
  • Reviewing and monitoring contractual obligations to validate all terms and conditions are met
  • Assisting teams in organizing, managing, and documenting compliance with contract requirements
  • Developing and implementing contract management tools, templates, methods and processes
  • Implementing detailed remuneration schemes to encourage contractor performance delivery
  • Identifying risks and issues, and developing practical and effective risk mitigation solutions that protect Avenue Living during the terms of the engagement
  • Escalating critical contract issues to internal departments to ensure timely and appropriate resolution
  • Obtaining functional review of all contract documents with the appropriate internal department
  • Supporting post-award management of contractors, including performance reviews and dispute claims resolution
  • Drafting contracts and ensuring process for signature and execution is completed
  • Creating and maintaining contract management database

What you need to succeed:

  • Minimum 3-5 years' experience in contract management, with direct experience in preparation and negotiation of contracts;
  • Ability to negotiate, draft and administer contracts
  • Strong analytical, negotiation and communication skills
  • Ability to identify and mitigate legal and contractual risk
  • Strong business acumen, with a practical approach to problem solving
  • Strong MS Office skills, with in-depth knowledge and skill level of Word and Excel
  • Demonstrated sense of urgency and strong commitment to achieving goals
  • Ability to work in a challenging, fast paced environment
  • Ability to influence the team through sound reasoning
  • Excellent relationship building skills
  • Ability to work collaboratively in a multi-disciplinary team with a positive attitude
  • Superior written and verbal communication skills
  • Experience in the real estate industry preferred, but not required
